Center for Future of the Oceans


Aquaculture Research Manager
Full-time position available

The Aquaculture Manager is a full-time, salaried position within the Sustainable Seafood Initiative at Monterey Bay Aquarium's Center for the Future of the Oceans. The incumbent is responsible for managing the generation of content on sustainable aquaculture for sustainable seafood recommendations (consumers and business) and CFFO policy initiatives.

In collaboration with the Senior Science Manager, refine and implement our institutional vision of sustainable aquaculture including supporting the development of species-specific standards for dominant and emerging species grown in land-based and marine systems.Compile, synthesize and analyze scientific information on various fisheries and aquaculture operations including peer-reviewed journal articles, stock status and other government reports and other reviews of sustainability. Develop, coordinate, and supervise research schedules for the aquaculture research team (Research Analysts, Contractual Researchers, and the Research Assistant). Identify aquaculture policy opportunities for the CFFO and work with the policy team to develop and implement appropriate strategies for engagement. Manage the aquaculture research team to ensure that their work meets program standards including the generation of sustainable seafood recommendations for consumers and business and content relevant for policy work.

 

Conservation and Research


SORAC Animal Care Specialist Seasonal ends 12/31/08
Part-time position available

The purpose of this position is to provide husbandry care for live-stranded or injured sea otters, to train, oversee and help coordinate the work of Assistant Aquarists and volunteers and to undertake related SORAC program support activities.

Provide husbandry care for southern sea otters undergoing rehabilitation (feeding, grooming, cleaning, transporting, restraining, etc.). Maintain sea otter holding areas and support areas (e.g., tanks, laboratory, food preparation areas, etc.). Work closely with veterinarian to detect medical problems, accomplish veterinary examinations and procedures and administer medical treatments. Prepare diets and provide food and enrichment items to sea otters. Encourage the development of survival skills in young sea otters. Respond to stranded sea otter calls. Participate in post-release tracking and monitoring of rehabilitated sea otters. As a mentor and coach, provide direct supervision for volunteer teams. Facilitate volunteer briefing meetings, coordinate daily work flow and provide ongoing support and recognition to volunteer team members to ensure that basic animal husbandry functions are completed according to established SORAC protocols.


SORAC Volunteer Coordinator
Full-time position available

Manage and develop the implementation of policies and procedures of the volunteer program specific to the SORAC program. Responsible for the recruitment, selection, placement, training and management of new and current volunteers. Coordinates development and delivery of training and orientation modules. Coordinates all recruitment meetings, shadow sessions and conducts all interviews. Coordinates recognition meetings and events.

Must have a Bachelor’s degree in the field of volunteer administration, psychology, business management or communications. Must have previous experience in coordinating a successful volunteer program for a minimum of three years. Must possess excellent interpersonal, conflict resolution and negotiation skills. Must be sensitive to individual volunteer needs and situations including medical emergencies (while at the aquarium), personal health concerns, death of a family member, death of program animal, relocation, need to retire or change of volunteer status. Must have a positive disposition and ability to work with variety of personalities within mid-sized team. Must be able to multi-task. Must possess excellent organizational skills. Must be able to deal with variety of situations daily involving different personalities, goals and needs. Must effectively communicate using a variety of media and to a broad range of ages and capabilities .

 

Development


Membership Assistant
Full-time position available

The Membership Assistant, under the supervision of the Membership Manager, the Membership Assistant works closely with the development team to provide excellent customer service for all members and donors. Primarily, this position answers phones, performs all necessary data entry functions, runs renewals, prepares fulfillment materials, including letters and membership cards and performs general office duties. Additionally, this position provides administrative support for inventory and assists in preparing work for volunteers.

The ideal candidate will have two years of administrative, fundraising and non-profit experience; Experience with handling a high volume of telephone calls; Database experience and word processing proficiency; Excellent communication and customer service skills.


Development Manager: Donor Relations
Full-time position available

The Development Manager: Donor Relations is responsible for all aspects of the Aquarium’s personal cultivation program for annual donors giving $2,500 and above and for Ocean Legacy planned giving donors. The Major Gifts Officer focuses on identifying, cultivating, soliciting and stewarding donors for the purpose of increasing retention, gift amounts and gift frequency. The Major Gifts Officer prepares and implements plans and materials; and participates in all facets of the Aquarium’s fundraising activities. The Monterey Bay Aquarium has 75,000 member households including over 3,000 annual donors and operates a multifaceted fundraising program including online, telemarketing and direct mail giving opportunities. Annual fundraising goals are $20 million dollars to support new exhibits, education, research, ocean policy initiatives and to build the endowment fund.



 

Exhibit Production


Senior Exhibit Technician Term ends 4/24/11
Part-time position available

This position requires versatile skills and advance knowledge for the design, production, fabrication, installation and maintenance of a complex and diverse array of exhibit graphics and presentation techniques and components; and lighting technology, products and electrical systems. This position demands a skilled craftsman to operate specialized equipment and tools and to perform graphic techniques. Also strong communication and organization skills to carry out production steps with in-house and out of house vendors.

Must have skills needed in fabrication and installation of graphic components to assure to follow design criteria and meet high levels of creativity and quality standards. Must have strong communication skills to be able to perform job tasks and responsibilities in a team environment; accurate record keeping and organizational skills; knowledge and skill in an array of graphic design and fabrication techniques; computer design software, layout, operating specialized laminating equipment, computerized vinyl cutting equipment, drafting, construction and cabinet making techniques, color mixing, painting, mount making. Also required to use small hand tools and apply various types of installation techniques. Able to work with heavy work loads, critical timing of installations and deadlines require ability to work quickly, exercise good judgment, create good solutions for problems and initiate action.


Production Designer/CAD Drafter
Full-time position available

This position works with the senior exhibit designers, project managers and outside consultants to produce accurate exhibit documentation on tight deadlines. Interprets Senior designer’s sketches to create detailed custom cabinetry drawings that integrate electronic, A/V, lighting, and mechanical components, as well as standard interior design details that include electrical, lighting, plumbing and HVAC. Creates design details in AutoCAD of exhibit construction and fabrication projects. Maintains records of all specifications and correspondence. Researches materials and techniques for specialty fabrications required in exhibits. Assists in building models and prototypes. Works with lead designer and CAD/Construction Coordinator to understand exhibit drawing requirements for each unique project. Creates custom cabinetry and exhibit details, following Senior Designer’s sketches, incorporating specialty hardware and equipment specs from other’s, in AutoCAD. Researches hardware and specialty materials as needed. Creates custom interior design details, including structural, mechanical, plumbing, A/V and lighting elements, in AutoCAD. Makes accurate field measurements, and notes details of existing building conditions. Helps create, organize, and maintain drawing packages, files and digital database. Responsible for producing and delivering blueprint packages. Builds models and simple prototypes of exhibit elements. Organizes and maintains samples and materials reference library. Responsible for Plotter maintenance. Orders and maintains plotter supplies. Participates in CAD users group.

College degree preferred. Formal training in architectural or industrial drafting preferred. At least three years experience in drafting for construction or fabrication. Experience with various building methods and hardware. Must be able draw readable and buildable drawing details. Basic knowledge of ADA, building codes, fire and safety regulations. Experience in producing complete drawing packages with specifications. Fluency in current versions AutoCAD software, and use of AutoCAD "xref" command. Familiarity with AIA layering standards, CSI sheet naming convention and use of paper space. Working knowledge of document management record keeping systems for paper and digital files. Basic knowledge of "Electronic Document Management System" preferred. Excellent verbal and written communication skills in English. Customer service experience with ability to satisfy requests from in-house customers.


Administrative Assistant Exhibits Division
Full-time position available

This position provides administrative support to the Vice President of Exhibitions, Project Director and Exhibitions Division Managers, under the direction and supervision of the Exhibitions Administrative Project Manager. Responsibilities include, but are not limited to: the completion and maintenance of outside vendor contracts, purchase orders, tracking of departmental expenses, processing of staff time cards, the scheduling of meetings, travel arrangements, and maintenance of departmental supplies and materials.

Provide administrative support to the Vice President of Exhibitions, Project Director, Manager of Production and Exhibitions Division Managers. Including but not limited to scheduling meetings, travel arrangements, mailing lists, photocopying, faxing, correspondence, mailings, and mail distribution. Orders and maintains office supplies and materials as needed. Process bi-weekly Exhibitions Division's time cards. Submits and tracks purchase orders, expense reports and contracts. Handles departmental/special project accounting functions and research as needed. Prepare accurate and timely department/special project YTD buget/expense reports for the Vice President of Exhibitions, Project Director and Exhibitions Division Managers. Assist with the annual preparation of departmental expense budgets. Responsible for preparing and tracking outside vendor contracts/payment schedules for the Exhibition Division. Complete additional assigned projects as requested.

 

Exhibit Research and Development


Director of Exhibitions
Full-time position available

The Director of Exhibitions is an expert in all aspects of creating interpretive exhibitions. The Director's role is to provide leadership and creative vision during the planning, development, design, production, installation, evaluation and remedial adjustment phases for all permanent and temporary aquarium exhibitions and related programs. The Director of Exhibitions maintains a creative and supportive atmosphere in the workplace while playing an active role overseeing the organization of exhibition content, the creation of the interpretive messages and the invention of overarching intellectual frameworks, themes, designs and treatments. The Director of Exhibitions works with the Vice President of Exhibitions, aquarium senior staff, representatives from other departments and exhibition department staff members to establish an exhibition's topic, budget, goals, schedules and deadline and is responsible for maintaining the highest standards for the development, design and production of innovative exhibitions that adhere to budgets and schedules and meet or exceed their goals.

This position requires supervisory experience, with an emphasis on managing creative production, productivity and quality control. This position also requires well-developed communication skills and feedback skills in order to establish and maintain strong relationships with a wide variety of staff as well as outside consultants and contractors. Degree in museum studies, design, or a related field; advanced degree preferred. Proven expertise in current exhibition practices and strategies. (Advanced knowledge of exhibition development, design and audience evaluation and a basic understanding of exhibition construction and fabrication.) Proven ability to develop small-scale and large-scale exhibitions under deadline pressure. Minimum of five years experience leading the creation of large-scale exhibitions. Proven ability to manage a large creative staff with diverse responsibilities under constant deadline pressures. Advanced planning and organizational skills to effectively deal with a high volume of work.

 

Facilities Services


Custodian
Full-time position available

The Custodian is responsible for keeping assigned areas of the aquarium in clean condition.

Must be able to read and understand English. Candidate must have the ability to communicate with staff and visitors. High School graduate or equivalent. Experience in using custodial supplies and equipment.

 

Finance


Controller
Full-time position available

The Controller is responsible for supervising and coordinating the activities of the accounting department. Includes management of the general ledger and creation of financial reports and tax information. Manages annual audit. Oversees compliance with federal grant requirements and other restricted funds. Responsible for ongoing enhancement and monitoring of documented system of internal controls.

BA/BS in accounting required. Licensed CPA strongly preferred. Required to have minimum of 3 years experience as controller in a not-for-profit environment or equivalent experience, minimum of 8 years experience in an accounting environment, and minimum of 3 years supervisory and management experience. Excellent supervisory skills required. Experience with implementing and maintaining an accounting system with multiple restricted funds. Extensive knowledge of federal OMB accounting and reporting requirements. Extensive knowledge and experience with establishing and maintaining internal control policies and procedures. Demonstrated ability to foster a team environment.


Accountant
Full-time position available

The Accountant is responsible for directing the monthly close, performing the fixed assets close, assisting with the annual close, and assisting with preparation and execution of the annual financial audit.  The Accountant is also responsible for reconciling all balance sheet accounts and obtaining or preparing all necessary supporting schedules.  The Accountant coordinates monthly financial reporting with the merchandising operator as it relates to premises rental, commission, reimbursable expenses, special programs and memberships and coordinates monthly financial reporting with Monterey Bay Aquarium Support Services as it relates to rental activities.  The Accountant will also prepare all regulatory filings including the transmittal of 1099 forms to vendors and the IRS.  The Accountant will also provide financial information to other departments as requested, perform other special projects as directed by the Assistant Controller, Senior Manager of Finance, and the CFO, and act as backup support to the Payroll Manager.

Bachelor's degree in Accounting, Economics or Finance preferred. Three years related experience. Work independently and also as part of a team. Possess a strong knowledge of Excel, Word and Microsoft applications. Knowledge of Microsoft Great Plains financial software a plus. Excellent communication and interpersonal skills. Excellent problem solving skills. Possess great attention to detail. Able to multitask, prioritize and work accurately while meeting deadlines. Self-motivated and able to plan daily workload. Ability to prepare and interpret financial data.


Financial Analyst
Full-time position available

Responsible for the analysis of complex financial data and the creation of monthly reports to support effective management and decision-making across the organization. Conducts studies to improve the operational and financial effectiveness of the organization. Extracts financial data from various accounting and information systems. Performs moderately complex statistical, cost and financial analysis of financial reports and data and prepares subsequent narrative analysis for management. The position will provide financial analysis support to the Assistant Controller.

Perform variance analyses between budgeted and actual results and review analyses with budget stakeholders. Forecast and monitor cash positions.Assist in the management and monitoring of expenditures associated with contracts and grant awards. Assist the Controller in the preparation of reports to lenders and the preparation of internal-use financial reports.Assist the Controller and Director of Finance in the preparation of annual budget and review of departmental budget data.Prepare financial analyses of project costs and present findings in summary reports for executives, management and other employees and stakeholders. Maintain general ledger account segments. Provide schedules and perform account analyses to support amounts reported in annual audit report. Monitor usage of private and public grants and assist the Development Department in the preparation of reports to grantors. Develop new procedures to improve timeliness and accuracy of data and information flow to all areas of the organization.

 

Guest Experience


Guest Experience Representative
Seasonal position available

The Guest Experience Representative is responsible for greeting and assisting all visitors to the aquarium by performing the specific duties of Entrance Host/Hostess, Cashier, or Group Greeter as needed. The Guest Services Representative also assists with line and crowd control and performs the duties of an Auditorium Host/Hostess as scheduled and may be required to learn and perform other duties within the position class as directed by the supervisor.

Must have effective written and oral communication skills; basic counting skills and excellent customer service skills.


Guest Experience Supervisor
Full-time position available

Guest Experience Supervisors work collaboratively to manage Guest Experience front-line staff including GE Representatives, Member Representatives, and Guest Ambassadors. Guest Experience Supervisors also perform standard opening and closing procedures, assist in all Guest Experience areas, and handle visitor problems in a professional and efficient manner.

Guest Experience Supervisors assist in the hiring, training, evaluation and termination of GE staff. Actively coach and mentor GE staff. Supervise floor staff and proactively manage staffing levels during the day and respond to visitor requests and concerns. Maintain employee handbooks and procedure manuals, conduct daily operations meeting with GE staff, model MBA standards of conduct, dress, attendance, and punctuality. High school diploma required; 2-years of college highly desirable. Previous experience in a supervisory role or equivalent training. Ability to work in a team setting. Effective written and oral communication skills, problem-solving skills, basic math skills, knowledge of basic computer skills, and time management skills.

 

Marketing


Integrated Marketing Coordinator
Full-time position available

This position is responsible for developing and overseeing the daily coordination of Integrated Marketing's email, promotions and customer service initiatives and programs. Work with Marketing team to meet attendance and associated revenue goals. Develop and execute innovative promotional programs in both core and outer markets that increase market and brand awareness. Ensure strategies are tactically executed in a creative and timely manner and within expense guidelines. Lead promotions team; provide proper training, delegation of tasks and ongoing communication of marketing strategies. Oversee promotional events from inception to completion, including working entire event and completing post-event statistics. Provide ongoing promotional activity & event training to Guest Experience staff. Coordinate and execute components of large projects or entire projects as assigned - from start to finish - including project management, data gathering and manipulation, synthesis and modeling, problem solving, and communication of insights and recommendations. Coordinate the process of planning for Sea Notes and other “full community” email publications.

Stay abreast of best practices and technical deliverability priorities for email marketing. Manage the technical process of segmenting and launching emails, including: managing the development of email templates, managing the master email database, segmenting the database to create appropriate versions of Sea Notes, loading emails into the email distribution tool, testing emails to ensure that all links work and that emails display correctly in all major email clients, including Hotmail, Yahoo, Gmail, Outlook (multiple versions) and AOL (multiple versions), and launching emails and reporting on results. Manage tests to maximize deliverability and open rates. Maintain master email calendar, as established among emailing departments. Launch a quarterly benchmark survey to the list to assess satisfaction with Sea Notes. Provide recommendations (to include executional considerations) regarding to innovative mass market special events.

 

Sales


Event Ambassador
On-call position available

The Event Host/Hostess works closely with the Event Coordinator in monitoring admissions, greeting and interacting with guests during special evening events at the aquarium such as private and corporate gatherings. This is an on-call position.

Must have a high school diploma, capable of making independant decisions and must have strong interpersonal skills.


Event Coordinator
Full-time position available

The Event Coordinator is directly responsible for the sales, service and execution of events and evening group admissions; also acts as key coordinator for member events and other selected aquarium related events.

Act as Manager on Duty during assigned evening and/or week-end events for duration of each event. Meet the events attendance and revenue goals set forth in the annual marketing plan. Execute booked events for contract,deposit and Event Order (including menu selection), and finalize preparations. Build prospective client base and develop industry contacts through site inspections and coverage of sales telephone. Prepare event schedules and process billing for events. Professionally represent the aquarium to prospective clients as an educational and entertaining event facility. Initiate effective follow-up on potential clients and past customers. Keep abreast of trends in the association, corporate and incentive markets as they affect the Monterey Peninsula and Monterey Bay Aquarium. Working closely with the Portola staff, create opportunities to upgrade event presentations, develop varied services for higher revenue, and create programs to increase off-season business.

 

Security


Security Officer
Seasonal position available

The Security officer will provide a safe environment for MBA property, employees, volunteers and visitors. Conduct daily patrols of all MBA buildings, grounds and parking lots to ensure all entry points are operational and secure. Immediately report all deficiencies to the Security supervisor and Safety manager. Shifts will vary according to needs. This position ends on 9/15/2008.

Must have written and oral communication skills in English. Must have knowledge of security procedures, and powers of arrest. Proficient report writing. Must be proficient with MS Word, and MS Outlook. Must maintain a valid driver's license without excessive convictions and DUI offenses. Must be bondable.
